What steps do I need to follow to set up and access my Microsoft 365 New Account?


Below are the steps to assist you in signing in and completing the account information.

Summary


A Microsoft 365 (M365) cloud account has been provisioned for you by the AOC Infrastructure team. This new Microsoft account is linked with your existing account that you have been using all along to sign in to your workstation and/or email. 


The account sign in credentials are simple because they are already known to you. The user name is your email address and the password is the same one that you use to sign in to your workstation today.

Signing In


The sign in process for accessing M365 resources is straightforward. All you need to do to get started is visit https://portal.office.com. If you are prompted to sign in, you simply need to provide your primary email address as your user name along with the same password that you use to access your workstation and email. 

 

In some cases, during the sign in process, you may be prompted with a choice of which account to use. If you see something like this, make sure that you choose the ‘Work or School’ type. That is the only Microsoft account that can be managed by AOC IT. Here is a picture of what the prompt may look like, for familiarity:



After you successfully sign in to M365, you should be able to see pertinent information about your account in the ‘My Account’ page. This includes your picture and your job title.

Multi-Factor Authentication (MFA)


Multi-Factor Authentication (MFA) is a requirement that comes along with your M365 account. It is a critical component in the ever-evolving attempts for the bad guys to steal your credentials.

 

After you sign in to the Office portal for the first time, you can expect to see a prompt to gather additional information. The prompt will look similar to this:



When you encounter this, please walk through the wizard and configure MFA. The current options for MFA methods include using an authenticator app (such as Duo or Microsoft Authenticator) on your smart phone, receiving an SMS text with a   one-time password, or receiving an SMS text message.

Note: There may be an option to skip the MFA set up steps temporarily. While you can postpone this for a short period of time, you should set up your MFA as soon as you can. This will prevent disruption in service later on.

Configuring DUO


By default, Microsoft will ask you to set up the Microsoft Authenticator app. If you are planning on using Duo, then follow these steps:

  1. If you haven’t already done so, install the Duo app on your mobile phone.
  2. In the web browser you are signing in to, Click “I want to use a different authenticator app”
     
  3. The next screen will look like the following picture. You will need to open the Duo app on your mobile phone and tap on the “+ Add” button. This will start the steps to add a new profile into the app. After you complete those steps, turn back to the MFA setup in the browser and then choose “Next”. 
     

    Note: You may be prompted to set up a recovery password from this app. This password is managed by you so be sure to remember the password that you choose. If you do see this prompt, please follow the on-screen instructions to continue setting up and then hit Next on the MFA setup page.

    a. App Set up:
    1. Open the Duo app and then hit the “+ Add” button
    2. Choose the option to use a QR code
    3. Note: some permissions to use your camera may appear, please allow this.
  4. At this point, you should see a QR code on your computer’s browser in the MFA setup page. Scan this QR code with your phone and then save your new profile within the Duo app on your mobile phone.
  5. Important: On your computer in the MFA Setup page, choose ‘Next’. This will finalize your MFA setup process. You will be asked to enter the 6-digit code that is shown in your Duo app. Note: you may have to click the button “Show” on the profile that you created to obtain this code. Enter the 6-digit code into the MFA setup page and then select “Next”.
  6. At this point, your MFA should now be set up. You should see a page that indicates the registration was successful. Click “Done” to advance the sign in process.

Configuring Microsoft Authenticator


If you are planning on using Microsoft Authenticator, please follow these steps:

 

  1. If you haven’t already done so, install the Authenticator app on your mobile phone. 
  2. Select ‘Next
     
  3. The next screen will look like the following picture. At this point, you will need to set up the Authenticator app on your mobile phone. After you complete those steps (shown below) return back to the MFA setup in the browser and then choose “Next”. 
     

    Note: You may be prompted to set up a recovery password from this app. This password is managed by you so be sure to remember the password that you choose. If you do see this prompt, please follow the on-screen instructions to continue setting up and then "Click" Next on the MFA setup page.
       a. App Set up:

Configuring a Text Message


By default, Microsoft will ask you to set up the Microsoft Authenticator app. If you are planning on using a Text Message instead, then follow these steps:

  1. Click “I want to set up a different method”.
  2. You will then be prompted to choose from different supported methods. Choose “Phone” from the drop down and then Select “Confirm”.
  3. At this page, enter in your phone number.
  4. You’ll receive a text, enter the code and then Click “Next
  5. After you provide the 6-digit code, you should see a page like this indicating that the registration was successful. Select “Next” to advance the sign in process.
  6. At the final page, Click “Done
