How can Clerks request audit information for PODS activity?


As a result of RCW 7.105.105, requiring the court or clerk to make electronically available any protection orders filed in the state to judicial officers, AOC has created new functionality in JABS to display protection order document images from all 39 superior courts.

 

Protection Order document images will not be stored by AOC. JABS will log user information each time a document is viewed from a courts document management system and audit reports will be available from AOC to the courts.  JABS will pass to the PODS process the following information:  RACFID, User Name, Case Number, Court ID of case, Court ID of user.

 

There are three options for County Clerks to track who used PODS to view document images stored in their document management system:


1. If the request is to find out who viewed any documents from a case in your court on any given date range, please send the following information to the eService Center "New Support Ticket" section, Topics: JIS Case Management; Sub-Topic: JABS; Issue: PODS

  • Subject: Audit Request for PODS
  • Court ID and contact information
  • Dates you are requesting information on who accessed document images from your court

Within 72 hours you will receive a response from the PODS Support Team.  The following information will be provided in a CSV file:  Date, RACFID, User Name, Case Number, Court ID of case and Court ID of user.

 

2. If you have a case number or user ID that you are requesting audit information on, please submit a request through the eService Center "New Support Ticket" section, Topics: JIS Case Management; Sub-Topic: JABS

 

3. If your county can develop a mechanism for capturing audit information, the PODS service can pass along user information each time a document is requested.  RACFID, User Name and Court ID of user can be passed along by PODS in what is called a “document header”.

  • AOC will not be responsible for assisting counties develop the functionality for capturing and storing this data.
