What changes were made to ETP in March 2014?

As a result of Information Technology Governance (ITG) requests 156, 176, and 191, made by DMCMA representatives, several enhancements were made to the ETP application and released in March of 2014.  A short, recorded webcast on this topic is attached to the bottom of this answer.

ITG 176 requested the ability to locate tickets that have hearings scheduled so they can be processed quickly and to be able to view the charges on the selected eTickets prior to processing them.  Two changes were made for this request.

New Category Row on Find eTickets Screen:

A new row, "Court Date", was added to option 2 - Find eTickets by Category.  NOTE:  Any eTicket listed in this row will ALSO be listed in the other categories above.

New Columns on Selected eTickets Screen:

Two new columns were added to the Selected eTickets screen; "Court Date/Time" and "Charge."  If the tickets selected are from any option besides the "Court Date" option on the Find eTickets screen, all tickets with a court date will still be listed first for quick entry.  Tickets with court dates are listed and processed in calendar order for the court dates issued on the tickets.  All tickets without a court date will be listed and processed in the order the ticket was received by AOC, oldest to newest.

ITG 156 requested more Person Business Rules be enforced by the ETP application to prevent improper data entry or over-writing of person records in error.  ITG 191 requested the DOL License Issue Date and the DOL Residential Address Update Date be made visible on the two comparison screens to help determine the most current address to use in JIS, per Person Business Rule - Case Participant Address to be Kept Current.

A number of changes were made to both of the comparison screens in ETP for these two ITGs:

  • The "Select All" buttons were removed from the top of the two data columns.
  • If the eTicket, DOL, and/or JIS Person names do not match exactly, neither will be pre-selected; the user must make a selection to proceed.
  • The eTicket data for height, weight, eye color, hair color, and employer will be pre-selected on both screens.
  • If the officer selected "New Address = Yes", the eTicket address information will be pre-selected on both screens, otherwise the address fields will NOT be pre-selected, and the user will need to make a selection in each row to proceed.
  • If the Driver's License number and state match, but the expiration date is different, the DOL expiration date will be pre-selected on both screens.
  • If the Driver's License number and state do not match, neither will be pre-selected; the user must make a selection to proceed.
  • If the Race or Language Codes are different, neither will be pre-selected; the user must make a selection to proceed.

Some of the rules above will appear as static text at the bottom of the comparison screens.  Additionally, new notes were added to each screen to display both the License Issue Date and the Residential Address Last Update Date.

New Person Business Rules Violation Message screen:

  • If the first 5 characters of the last name and the first initial do not match, the user will NOT be allowed to make a selection.
  • If the date of birth does not match, the user will NOT be allowed to make a selection.
  • If the sex code does not match, the user will NOT be allowed to make a selection.

If the records do NOT match, per the rules above, and the user is unable to make a selection, the new Person Business Rules Violation screen appears.  The message at the top of the screen explains why no items are selectable and what steps the user should take to proceed with the case filing.   The user will be returned to the Search Name Duplicate (SND) screen upon pressing <Enter>/Continue when this screen appears, where they can make another selection or add a new person record and process the ticket.

A recorded webcast was made to review these changes.  Courts can use the webcast as a training tool for staff who were unable to attend the live webinar events.  To view the webcast, click the link below; it will open the recording in a new window.

NOTE:  If the webcast recording will not play due to Adobe Flash Player conflicts on the computer the attached Power Point presentation version is also available for viewing.  Click the attachment link below to play the Power Point version of the webcast.  Both versions do have sound, and both are set to auto-start.
